We all know the advantages of Adobe Acrobat Reader:

1. It's free.

2. It allows those of us who work in expensive,
esoteric programs specific to our industries to show our clients exactly how a printed or electronic document will look when it’s printed or published.

3. It’s cross platform – your PC can see what my MAC has created and vice versa.

But not many of us are aware that there’s an additional tool that will make this process of publishing information quicker, easier, and potentially paperless – Adobe Acrobat.

Adobe Acrobat allows you and others in your organization to review documents in the PDF format and add comments — saving you considerable time and hassle since everything is accomplished electronically.

Once you have everyone’s comments in hand, you can then send them back to the designer as a new pdf file, eliminating time consuming phone calls to clarify hand-written notes (or those cut off by the fax machine). Those who receive your new pdf file will be able to print out a summary of all comments if they need them.

I know instituting a new piece of software in your organization can be a daunting task and besides, who has time to train people and help them adjust to change?

However, Adobe Acrobat is fairly intuitive: the editing toolbar includes a “stickie note” tool that looks and acts just like a paper stickie note, and other functions allow you to delete or insert text.

The only down side is having to type in all your changes and questions. So, if you like calling up your designer and dictating changes by phone (because like me, you still prefer putting pen to paper rather than fingers to keys) by all means, keep doing that. But if you need a system for moving changes to publications and documents through your organization quickly and efficiently, this could be the solution for you.
